At the request of our members the TRU Board will be releasing their monthly board call minutes and notes. View all of the archived minutes or read on for the 3/21/16 notes:

      • NOT a QUORUM at first, additional members (Tomsak, Butch & Turner) joined at ~ 8:35pm to make a quorum.
  • Approve minutes from last call
    • Tate: Lets ask for an electronic approval so we can post if approved.
      • Parker: (8:35pm): I motion we approve.
      • Tomsak: I second.
      • Tate: Any opposition?

  • Follow Ups from last call
    • Operating Procedures (v9)
      • Young: Major changes are that I added in the Field Policies we discussed and removed any mention of removing competition points as that is a RRRC function.
        • Tate: Even though we don’t have a quorum, Parker and I are happy with them. Let’s have an electronic vote tomorrow, thumbs up or down.
          • Young: OK.

      • Hall of Fame
        • Tate: Same as above for HOF.
          • Tate: (8:39pm) Luke and Drew, have you had a chance to review?
            • Turner: I’ve looked at it and don’t have any issues.

  • Fee for add/drop/change match within 14 days? (TRRA)
    • $50 or $100?
      • Tate: Let’s put out another proposal to the Board for this at $50. We can look at increasing later if we need to.
        • Tomsak: (8:39pm) I think that number is perfect. We pay Wendy to make these changes, so we need to cover those costs.
        • Tate: Yes, we made that point at the AGM.
        • Parker: I’m not a huge fan of this and worry about reactions from the clubs.
        • Butch: I’m fine with the $50, I originally proposed $100. Talking to other referee chairman’s, some are charging $100 or more. But, I’m good with what the group wants to do.
        • Tate: Ok, so $50 to start this program and we always have the option to increase if needed.
    • Who gets fee? TRU or TRRA?
      • Tate: This costs and inconveniences TRU and TRRA…at the end of the day I feel that the TRU Admin and the referees are having the most burden with this. We don’t expect this to be a huge amount of money, so if Butch wants this to go into the TRRA development fund, I don’t have a problem with that. Of course this is a trial program, if it changes and becomes larger than we though we may have to step back and take another look.
        • Tomsak: (8:39pm) A thought here, we need to recoup Wendy’s cost, so half should go to the TRU.
        • Parker: I’m good with it going to the TRRA fund, we can always adjust going forward.
        • Turner: I’m good with TRRA.
        • Tate:  Objections? None. Approved.
  • RRRC Playoffs
    • Host Bid
      • Young: Only received from one bid from The Woodlands, proposing two turf fields or grass. Will let WRFC that we are considering but we would prefer their grass fields due to the proximity of the light poles and surrounding curb on some ends..
      • Tate: Ok, lets move forward with this, lets confirm grass fields and CC Alan for RRRC.
        • Young: OK.
    • Stadium/T5.5 Quotes
      • Young: I appreciate the help that Doug is trying to give but we aren’t getting enough details, I’m not cc’d on anything…etc.
      • Tate: You will more than likely be dealing with the logistics, so let’s have you interact with T5.5 etc.
      • Parker: What stadium in Woodlands?
      • Tate: I’m not familiar with it either, so maybe it’s something new?
      • Young: The quote we got from T5.5 was almost triple what I was expecting, so I’ll deal with them to see what’s going on.
  • Summit
    • Celebrate 45 years
    • Celebrate founding clubs?
    • Hall of Fame
      • Young: Final process? When are soliciting nominees? They will be announced at the Summit so we need to get going.
    • Guest Speakers? Guest Coach?
      • Tate: If any of you have ideas of keynote speakers, by all means let’s get a short list started.
  • Soloshot
    • Club discount?
      • Tate: This came up at the AGM, I think this will be just a research thing, Scott Green of TRRA is doing the purchasing. Let’s put this on them to see if they can work out a discount. They’ve already got a relationship, so let’s leverage that.
      • Butch: That has been Scott but I’ll check with him. I’d be curious how it would be used by the clubs because it’s based on GPS, but I’ll check.
      • Young: They could still put the unit on the referee if we didn’t have a unit there.
      • Tomsak: We could also use it at training (coach wears, etc) to see bigger picture.
      • Tate: I suppose you could put it on your scrumhalf, they should be around the ball.
  • Sideline Conduct
    • How can TRU help? Sanctions?
      • Tate: This came up at the AGM, Sallie of HARC has spoken with her sister at Texas Tech. They are looking at donating some time on how we can best communicate these cultural differences to our leadership. But, before that, we need to contact Butch and find out what the referees are empowered to do. If there is anything the referees can do to help with this, are they willing? What about the “scoring system” that Courtney proposed last year?
      • Young: Yes, it’s being record on the match reports, I haven’t pulled any data yet though.
      • Tate: I don’t see very many referees that are coming out and saying there are major issues. So either the issues aren’t as severe as they appear or they are reluctant to report. Lets look at that data and see what we have.
      • Butch: The direction from the USA Rugby HP Manager is that you have a coach as an example that is out of line. Stop the match, give a verbal warning to the captain (and they can let the coach know). If it continues, you eject the coach (they must leave the playing enclosure). If they don’t want to leave, the match will be forfeited. We do need to look at training up our referees as some aren’t quite prepared to do this. They don’t want to be the bad guy or have the repercussions.
      • Tate: Exactly, we don’t know if referees are prepared to do this at this point.The discussion was centered around the leaders of our clubs need to be passing on this culture. We have to take ownership of it and pass it on to our players, fans, etc.
      • Parker: Since we’ve updated the match report to capture more details about the field policies, etc that we are getting better feedback. As far as the teams acting up, we are adults, they know what they should and shouldn’t be doing.
      • Tate: That’s a fair point, the behaviour shouldn’t be allowed and the sanction should fit the action.
  • USA Rugby Jersey Policy (RRRC)
    • Sanctions?
      • Tate: This was brought up at the AGM, RRRC will be releasing the full policy soon. I don’t think we need to worry about sanctions yet, something to look at after everyone has reviewed it.
