Who’s the Ref – Team User Guide

Register Account/Set Password

  1. Go to http://whostheref.com/
  2. Click Login on the top right.
  3. Input your preferred email address in the username field and ignore the password field for now.
  4. Choose ‘Sign up as a new user’ underneath the password field.
  5. Complete the required form and and choose ‘Rugby’ as your sport.
  6. Once your account has been activated you will be sent an email notification with more steps. Activation can take 24-48 hours, please be patient. Note that your account is VIEW only, you will not be able to edit matches or other details.
  7. If you don’t get an email or have questions, please send admin@texasrugbyunion.com a note.

Reset Password

  1. Go to https://www.whostheref.com.
  2. Click login on the top right.
  3. Input your email address.
  4. Leave the password field empty
  5. Choose ‘Update my password’.
  6. Then choose one of the options, we recommend ‘Update my password’ again.
  7. You should receive a password update email to the email you input in step 3.

Match Add or Change Request

  1. To request a new match or any changes, please use this form: https://texasrugbyunion.com/administration/addchangedrop-match-form/
    1. Note that requests made under 14 days will incur a fee (can be paid on the above page).

Need to add a tournament or other event? Use the tournament form.

Edit your Contact Details

You can manage your own contact details from within the software:

  1. Go to ‘Contacts’ on the left side menu.
  2. You can either search or just hit find and it will show all current contacts.
  3. Click on your name to verify your contact settings.
  4. If you have issues, email admin@texasrugbyunion.com.

View Club Details

We recommend reviewing your club details (pitch address and teams) every season. 

Note that the home pitch that correlates with your matches is stored in this contact record. Please make sure this is accurate as this is where team’s and referees will go on game day.

  1. Go to ‘Clubs’ on the left side menu.
  2. You can either search or just hit find and it will show all current clubs.
  3. If your pitch address or other details are incorrect, email admin@texasrugbyunion.com.

View Team Contacts

The team contacts are critical as this is how referees and other teams will find your team’s contact information.

We do recommend reviewing this every season to ensure it’s as accurate as possible.

  1. Go to Team Contacts on the left menu.
  2. You can either use the search box to look for a team or leave it blank and hit Find to see all the registered teams.
  3. We recommend that the President of the club is the “primary contact” and secondary can be the other officers.
  4. If you need any data for your team updated, please use this form.

View Schedules & Assigned Referees

  1. Click Fixtures on the left menu.
  2. To simply view all fixtures, input the desired dates and hit Find. Or you can use the teams or competition fields to narrow your search.
  3. Hit the magnifying glass to view more details about the match.
  4. The assigned referee can be found on the same row to the right, click on the referee name to see their contact details.

Contact Assigned Referee

The referee team (include ARs & #4s if assigned) should be contacted by Wednesday of the match week:

  1. Click Fixtures on the left menu.
  2. Input the desired date and hit Find. Or you can use the teams or competition fields to narrow your search.
  3. Hit the magnifying glass to view more details about the match.
  4. The assigned referee can be found on the same row to the right, click on the referee name to see their contact details.

Referee Feedback

  1. Logon to Who’s the Ref.
  2. Click Fixtures on the left menu. To simply view all fixtures, input the desired dates and hit Find. Or you can use the teams or competition fields to narrow your search.
  3. Locate the match that you’d like to leave feedback on and you’ll see a small PR icon on the right next to the referee name. Click that and complete the form.
  4. Make sure to check the “final version” box and click submit.

Disciplinary Reports

  1. Logon to Who’s the Ref. Don’t have an account or have issues, go here: https://texasrugbyunion.com/whos-the-ref-team-user-guide/.
  2. Choose fixtures on the left.
  3. Find the match you’d like to file a report on and then hover over the + sign on the right. Choose the appropriate card color and fill out the form.
  4. Make sure you finalize your report by checking the box next to “Final version: (no more updates)”.

If you’d like to view the disciplinary reports:

  1. Logon to Who’s the Ref. Don’t have an account or have issues, go here: https://texasrugbyunion.com/whos-the-ref-team-user-guide/.
  2. Choose reports on the left.
  3. Choose a date and we recommend leaving the Form type as ‘all’.
  4. Click Find.
  5. If that isn’t working we’ve made a backup of the reports here on our Google Drive.

Do note that the TRU has opted to follow the current USA Rugby Disciplinary Procedures and the included appeals process.
