TRU Board Meeting Notes – 3/15/21

At the request of our members the TRU Board will be releasing their monthly board call minutes and notes. View all of the TRU archived minutes or read on for the most recent notes:

    1. Roll Call
      1. Actual call was canceled as most Board members weren’t available due to Spring Break, discussions were held via email
    2. L200 Course (from RRRC call)
      1. Young 3/15: For now the L200 coaching course can only be held in-person. As we won’t have the Summit (were we usually run our courses) until later in the fall, do we want to encourage clubs to host these?
      2. Tate 3/22: Clubs should contact Mary Swanstrom – the south region education coordinator. She can assist so we don’t have redundant clinics in a single region.
    3. RTP Applications
      1. Young 3/15: We’ve received 3 actual applications and 9 other teams have sent us varying documentation but haven’t done their RTP application yet. Kat and I spoke last week about the process of how we’re going to handle these requests. I will track overall documentation/progress and keep teams updated including a notification of where they are in the process and what is outstanding. Then I’ll notify Kat once they’re complete and she can add events to WTR and alert the TRRA assigners for referees. So far, only Rugby HTX has gone through the entire process and had their matches added to the calendar and then had referees assigned (3/20 match). The next date requested is 3/27 and we’re working with Denton and Shreveport. All the rest are for matches in April and Wendy will follow up with them closer to the date. You can view where teams are in the process using the ‘checklist’ tab.
        1. Young 3/22: We’ve now received 8 RTP applications with 5 clubs completing all paperwork. The rest are in varying stages of submitting requirements but most don’t have matches until mid-April. As we confirm requirements, I’m requesting that Kat add the matches to WTR and that referees are assigned. We also received 43 responses to our March RTP Survey and it indicates that 65% of clubs will be taking advantage of the RTP process at some point.
        2. Young 3/24: We had a request to share the list of Stage 4+ RTP Waiver approved clubs and so I’ve added that to the TRU COVID-19 information page (about halfway down). I’ll try to keep that as updated as possible.
      2. Women’s 7s
        1. Dodge 3/15: I’ve been working with Marie on creating a 7s like competition in the North for the women’s teams. Kat and Wendy have been in the loop as well. Wendy, who would I reach out to for the South/Central teams?
        2. Young: 3/15: I’d recommend reaching out to the team’s presidents. I haven’t heard if any of them are doing friendlies or just working towards 7s. The survey results make it look like most don’t have enough for 15s at this time. So it’s prudent that we try and provide them with a 7s or 10s structure to get built back-up.
        3. Dodge 3/15: Ok, will do! I’ll send in a few days.
        4. Young 3/22: Great, then I’ll tag on with the Central/North teams to see what their interest is in either joining or making their own tournaments.
      3. Vaccine Recommendations
        1. Young 3/15: I’ve received two inquiries around what rules vaccinated folks will need to follow. I’m thinking we can just go with the CDC recommendation at this point? 
        2. If we choose to do this I’d recommend we update the Stage 4+ guidelines as well as the COVID page on the website.
        3. Dodge 3/22: In the TRU Waiver Policy, players who have been fully vaccinated are exempt from the quarantine requirement if their Club has a COVID Event / Exposure.
        4. Young 3/23: I’ll move this to next month’s agenda in case we want to have additional dialogue on this.
    4. 7s Referee Discussion (from AGM)
      1. Tate 3/15: I propose that we change our approach from only paying for RRRC 7s Qualifier event referees to thinking about covering social 7s this year. We want to promote as many teams playing as possible.
      2. Dodge 3/15: I support the idea of covering refs for TOLA matches this year. However, I’d like to discuss the idea that entry fees be lower for TRU teams, rather than having host Clubs pay the TRU a reduced rate for referees.  The idea needs some development, but he’d like to kick it around. 
      3. Young: 3/22: Great, I’ll keep this on the agenda for next month so we can discuss more in-depth.
    5. Elections

        1. Young 3/15: I recommend we open nominations during the early summer for DII and DIII M rep. 
        2. Dodge 3/22: I think we can wait until next month to put out calls for nominations.  Hopefully folks will be a little more dialed in by then.
