TRU Board Meeting Notes – 7/15/24

  1. Tulsa RFC – D3
    1. Must meet new club documentation (members / viability fee).  Fee paid per F/S provided.
  2. Dallas Jackals Academy – D1
    1. Must meet new club documentation (members / viability fee).  Fee paid per F/S provided.
  3. Cypress Men – D4M
    1. Mistakenly left the Club off the call last month.  Previously approved by RRRC.
    2. Need to follow up with Wendy / Hansel to ensure that they pay their viability fee.
      1. Young (after call): Invoice was sent but haven’t had any correspondence back. Will send a reminder.
    3. Note:  Membership was approved electronically.  No opposition noted.
    4. Need to follow up with Will Beazley (JK).
  4. Executive Discussion.
  5. TOLA / RRRC
    1. Austin Huns and HEB Hurricane’s both have won all three RRRC events.  Both will receive automatic bids to USA Club Sevens National Championships in Madison, WI.
    2. McPhail will get with Wendy / Hansel to review Team Grants based on registration numbers.  Upon agreement, the Treasurer will issue checks to the Huns and HEB.  
    3. Dallas RFC Men and Dallas Harlequin Women are being put forward for consideration to receive At Large bids. Hope to have confirmation by the end of next week.  Team Grants would follow accordingly.
  6. Gulf Coast Agreement
    1. Draft agreement will reflect that the RRRC / TRU will continue to host every other year (even years).
    2. Group is trying to organize a follow up meeting in the next week or two to go over any modifications.
  7. TRRA
    1. Reminder – Dallas area refs needed.
      1. Most active three refs have moved out of the region and have left a large gap in coverage and depth.  Best person to recruit is an ex-player.
      2. TRRA is willing to work with new referee’s to facilitate the ease of transistion.
      3. Next referee course is at TRU Summit on Saturday (link) and Sunday is a chance for any active referees to advance their education (link).
    2. Need to consider renewing the prior GU policies that mandated support of the TRRA. All teams to have min # of certified refs and AR’s, etc.  
    3. TRRA attendance at Choctaw Qualifier was very low.  It’s a challenge of a location but we need to find a way to ensure proper level of support at National Pathway events.
    4. Would like to have a “growth plan” from Ozzie, JK, and David look at growing numbers in the north region.
    5. Easiest way to grow is to have Clubs identify and encourage members to take the Ref Class.
  8. Discipline 
    1. Sevens eligibility pending
    2. Referee abuse report pending
    3. Discussion of simplified JO form for tournaments
    4. Update on plan for use of JO’s during the upcoming Fifteens season.
  9. USA Club Council
    1. Michael Norton was nominated and elected to the SCC Secretary position effective July session.
    2. Dodge updates:
      1. Reminder – Players to see a $5 CIPP increase from last year.  Not an increase in cost but the impact of the SCC no longer lowering the players’ costs via prior subsidy.
      2. MD1 pathway via GCSR is still being discussed.  This has been communicated to the RRRC.
      3. Dodge has found a viable replacement (Tim Cowley) and is putting the name forward for consideration and approval this week.  New term begins Jan-2025.  
      4. 2024-25 Eligibility discussions to begin in connection with Fifteens for next cycle.
  10. Financial discussion
    1. See YTD 2023-24 F/S as provided by the Treasurer.
    2. Executive discussion.
  11. AGM on Aug-24, 2024 at Hilton – Austin Airport
    1. Meeting room has been confirmed for a joint RRRC / TRU meeting.  Room reserved from 10am to Noon.
    2. Agenda items can be sent to McPhail for discussion/inclusion.  
      1. Primary topics will be update on:
        1. 2024-25 master schedule, Division Changes, Updates on RX, etc.
        2. Review of YTD Financials
        3. Review of RRRC and TRU candidates.  FB reminder to go out this week (Wendy).
        4. Other
  12. Summit on August 23-24 at Hilton – Austin Airport
    1. Registration is open and closes Sunday, August 18. Don’t wait as all spots will fill up!
    2. New Clubs – expected attendance of Tulsa RFC, Cypress, Dallas Jackals and OKC Mt Boomers
  13. HOF on August 24 at Hilton – Austin Airport
    1. Tickets are on sale for this amazing event, we sell out every year so don’t wait!
