TRU Board Meeting Notes – 10/18/21

At the request of our members the TRU Board will be releasing their monthly board call minutes and notes. View all of the TRU archived minutes or read on for the most recent notes:

  2. COVID RTP
    1. Young: I’ve been tracking this daily and providing weekly updates on social media. We’re looking much better with most regions (cities) in the green meaning that they are in Stage 5. The only outliers are Corpus Christi (on the right track with 4 days under 15% while OKC and Norman are seeing an uptick in ICU hospitalizations.
    2. Dodge: I just circulated the updated COVID guidelines for review by the Board. With the numbers trending in the right direction there wasn’t as much urgency on this but we still need to have it in place for those areas that aren’t in Stage 5. 
    3. Tate: Agree that Corpus is looking like it’s moving in the right direction, everyone else in Texas is good and is remaining in Stage 5. OKC and Norman are seeing a small surge in ICU hospitalizations but are seeing less cases. We know that hospitalizations lag behind cases so we expect those to keep going down. We continue to encourage folks to get vaccinated.
    4. Dodge: Can everyone take a look at what I circulated and then we can do a digital vote? This would be for a region that goes beyond our thresholds.
    5. Tate: Yes, a digital vote will work.
    6. Low: The TRRA doesn’t have a direct statute around COVID but we’re asking them to respect what the entities we serve. So we will happily follow the TRU, RT or D1A guidelines and have asked our members to do the same.
  3. XVs Schedule
    1. WTR
      1. Young: We have asked clubs to go through and confirm their schedule is correct in WTR, we had a few versions of the schedule out there and there may have been some mistakes.
    2. CMS
      1. Young: We have a few matches loaded into CMS but we want to make sure WTR is accurate before we add the entire league schedule. Logins for the clubs are the same as last year.
    3. Compliance
      1. Young: We’re starting to confirm that team’s have completed their USA Rugby Club registration, have a L200 Coach and have enough players registered for their upcoming matches. 
  4. Summit
    1. Tate: I know we had to cancel some courses and you’ve put out a call for more registrations. I would assume the lag in courses is a combination of COVID and how many people we’ve certified over the years. What is the current status?
    2. Young: We did reduce the number of courses, mostly on Sunday. We are looking at cancelling the Coaching L300 and the three referee courses because we don’t have enough people signed up. We still have until Friday so we will have to see.
    3. Tate: I know there were a few referee courses over the summer so perhaps that took some of our normal expected registrants?
    4. Young: There were three but I believe only one actually happened and it had 9 or 10 people…so I don’t think that is it.
    5. Low: I’m not sure what is causing the issues but it could be the year and a half off as we’re having a hard time getting our normal referees to register this year.
    6. Roche: I’m also wondering if it is the high cost of entry, there isn’t really a way to “try” to be a referee. Paying for a course up front is expensive if you aren’t sure you will like it.
    7. Tate: That’s a good point, I can talk with the R&L and Jamie M about that, we need to try and have less barriers.
    8. Dodge: Another barrier I’ve noticed is the requirement of all the pre-course work that has to be done even before we can schedule a course. This is the individual player or potential paperwork. You have to herd them to complete that paperwork.
  5. HOF
    1. Young: This will be our largest HOF event ever with over 200 tickets sold. We’re still chasing down all the attendee names and COVID requirements but we’re getting there. 
  6. Swag
    1. Young: The swag is starting to come in, we had to buy this 8 weeks in advance so we will have some inventory. I’m confident we can sell it in a few years. 🙂
  7. All Stars
    1. Young: We announced the coaching staff and the tryout details. Interest forms are flying in and Traci and team are finalizing tryout details and all that.
    2. Kurylas: Any new teams?
    3. Young: Yes, we are up to 6 with Midwest adding 2 teams so now we’re trying to get it to 8 teams. 
    4. Tate: There has been a talk on the USAR SCC that there is interest in reviving men’s All Stars. There does seem to be a good bit of interest in doing a men’s All Star competition. No dates or anything locked in but just general interest. Scheduling is always the issue so that will have to be considered.
    5. Dodge: I’d like to try and find a way to rekindle the Counties program that we did in 2008 or 2009. It could be combined with the Academy sides that are popping up. 
    6. Young: How were the Counties determined?
    7. Tate: It was a North, South and Central break-out with a round robin kind of format. This was all played before the season started. 
    8. Young: Cool, so maybe the women could do a North and South thing. Interesting.
    9. Tate: Yes, this could be a way to encourage further development in our major regions. A good way for D2 and D3 clubs to get more exposure to higher level rugby.
  8. 50th Anniversary Tournament
    1. Dodge: We talked on the RRRC call that we would not recommend the tournament this year. There just isn’t enough interest.
    2. Tate: That writing has been on the wall for a bit, any objections to tabling this event? None. APPROVED.
  9. New Business
    1. None.
